This policy explains what personal data Senior Heating Solutions collects when you use this website or get in touch, what we do with it, and the rights you have over it under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
You can use this website without telling us who you are. We only collect personal data when you choose to contact us, or when you allow analytics cookies.
1. Who we are
Senior Heating Solutions is the controller of your personal data. Our details are:
Business: Senior Heating Solutions (Dale Senior) Address: 12 Pinewood Rd, Poole, BH13 6JS Phone: 07900 930999 Email: [email protected] Website: seniorheatingservices.co.uk
We are a small business and are not required to appoint a Data Protection Officer. Please send any question about your data to the email address or phone number above.
2. What we collect
- When you fill in a form on this website (a callback request or an enquiry): your name, phone number, email address, and anything you write in the message, such as your address or details of your boiler.
- When you phone or email us: the details you give us so we can deal with your enquiry and, if you go ahead, carry out the work.
- When you become a customer: the information needed to quote, book and carry out the work and to invoice you, such as your address and records of the work done (for example Gas Safe and Benchmark records).
- When you browse the website: our hosting provider keeps short-lived technical logs (such as your IP address, browser type and the pages requested) to deliver the site and protect it from attacks. If you allow analytics cookies, Google Analytics also records how the site is used — see section 6.
We do not collect special category data, and we do not knowingly collect data from children.
3. How we use it
- To reply to your enquiry or call you back.
- To quote for, arrange and carry out work, and to invoice you.
- To keep the records the law or our industry requires, for example tax records and gas safety records.
- To understand how the website is used so we can improve it (only if you allow analytics cookies).
- To keep the website secure.
We do not sell your data, we do not send marketing newsletters, and we do not use your data for automated decision-making or profiling.
4. Our lawful basis
- Steps before a contract, and the contract itself — replying to your enquiry, quoting and carrying out work (UK GDPR Article 6(1)(b)).
- Legal obligation — keeping tax, accounting and gas safety records (Article 6(1)(c)).
- Legitimate interests — keeping the website running and secure, and keeping a record of past enquiries and work so we can help you again (Article 6(1)(f)).
- Consent — analytics cookies, which are only set if you choose to allow them (Article 6(1)(a)). You can withdraw consent at any time under “Cookie settings” at the bottom of every page.
5. Who we share it with
We only share your data with service providers who process it on our behalf and under our instructions:
- eDirect, our website and marketing provider, which runs the enquiry forms on this site and stores what you send in its customer-management system so we can reply to you.
- Cloudflare, which hosts this website.
- Google, for Google Analytics, only if you allow analytics cookies.
- Our accountant, and HMRC, where the law requires it.
The coverage map on our Contact page loads map images from OpenStreetMap, which receives your IP address in the same way as any website you visit.
Some of these providers may process data outside the UK. Where they do, they use safeguards recognised under UK law, such as the UK International Data Transfer Addendum.
6. Cookies and analytics
We use Google Analytics 4 to count visits and see which pages are used. It only loads, and its cookies are only set, if you click “Accept All” or switch Analytics on under “Customise”. Until then nothing is sent to Google. Our Cookies Policy lists every cookie the site sets and how to change your choice.
7. How long we keep it
- Enquiries that do not lead to work: deleted once they are no longer needed to deal with your enquiry.
- Customer records: kept for as long as the law requires for tax and accounting records, and for gas safety records for as long as industry rules require.
- Website logs: kept by our hosting provider for a short period, then deleted automatically.
- Analytics data: kept by Google Analytics for the retention period we set in it, then deleted automatically.
8. Keeping it safe
The website is served over an encrypted connection (HTTPS), and access to enquiries and customer records is limited to the people who need it. No method of sending data over the internet is completely secure, so if you would rather, you can always call us instead.
9. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct data that is wrong or incomplete;
- ask us to delete your data;
- ask us to restrict how we use your data;
- object to us using your data on the basis of legitimate interests;
- ask for your data in a portable format;
- withdraw your consent at any time, where we rely on it.
Some of these rights do not apply in every case — for example, we must keep some records by law. To use any of them, contact us using the details in section 1. There is normally no charge, and we will reply within one month.
10. Complaints
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection: ico.org.uk or 0303 123 1113.
11. Changes to this policy
We will update this policy if the way we use personal data changes, for example if we add a new service to the website. The current version is always on this page.
